NightShiftAgents for Accounting

Client documents chased in January, not April. Engagement letters out before the work starts. WIP billed before it ages.

An accounting practice knows exactly what is coming and still loses March to chasing PDFs. NightShiftAgents reads Karbon, Canopy or TaxDome, chases missing documents by client and by item, drafts engagement-letter renewals, reports WIP and realization weekly, and keeps your own books current. It does not prepare returns, give tax advice or sign anything.

Night Shift is set up for your industry. Written for the owner of a small accounting or bookkeeping practice. Runs on your machine, with your accounts.

The problem

You have the deadline calendar for everyone except yourself.

  1. 01

The organizer went out in January. The first reminder about the missing 1099s goes out when someone notices in March. The extension follows.

  2. 02

Engagement letters for the new year trickle out through February. Work starts on clients who have not signed.

  3. 03

WIP sits unbilled through busy season because billing is an off-season job. Realization suffers and nobody sees it until June.

A working day

The same day, before and after.

Before

  1. 7:00 AM

Busy season. Open the tracker. 140 returns, 60 waiting on documents. No one knows which documents.

  2. 10:00 AM

Staff asks whether the Martinez engagement letter is signed. It was not sent.

  3. 1:00 PM

A client emails asking what you still need. Someone spends twenty minutes finding out.

  4. 4:30 PM

Partner review. Three returns held on one missing K-1 each. No reminder has gone out.

  5. 8:00 PM

Your own bookkeeping. Two months behind. The cobbler's children.

After install

  1. 7:00 AM

Morning brief: 60 clients missing documents, listed by client and by item, each with a drafted reminder that names the specific items. Twelve replied yesterday with attachments.

  2. 10:00 AM

Engagement letters were drafted for every client in December from last year's letter and your fee rule. Martinez signed in January.

  3. 1:00 PM

The client's 'what do you still need' got a reply listing the two items, drafted from the tracker, sent by the admin under the standing rule.

  4. 4:30 PM

The three K-1 holds got their day-7 and day-14 reminders automatically. Two arrived.

  5. 8:00 PM

Your own ledger reconciled last night. WIP and realization report is on Friday's brief.

What it hands you

The three files that matter most here.

  • Missing-document list by client and item
  • WIP and realization by client and staff
  • The firm's own ledger, reconciled nightly

Previews show the file format with sample rows. They are not a customer's data.

Read this part

What it does not do.

You are the professional of record. The agents run the office.
  • It does not prepare, review or file a return or a financial statement.
  • It does not give tax or accounting advice in any draft. Client questions of substance are routed to the preparer.
  • It does not sign engagement letters, representations or anything else.
  • It does not read client source documents beyond checking that an item has arrived.
  • It does not send anything without your approval — unless you switch that agent to auto-send.

Always. Six-line card.

An admin answers the phone, assembles paper files and handles the front desk. The agents do not. They chase every document on schedule, get every engagement letter out in December, and show you the unbilled WIP every Friday.

Market figures are typical ranges for this role, not a quote. Your Agent Improvement Plan uses your numbers.

The catch

What owners in your industry ask first.

Questions

Frequently asked.

Which practice management tools does it read?
Karbon, Canopy, TaxDome and Jetpack Workflow. Others by export. The Agent Improvement Plan names fields.
How does it know which documents are missing?
From the open items on each client's task or organizer in your practice software. If your tracking is in a spreadsheet, it reads that instead, with fewer automations.
Is this appropriate for a CPA firm under professional standards?
The agents perform administrative tasks: reminders, status replies, letter drafting, internal reporting. They perform no professional service and every outgoing message can be held for a licensed person. Your own review of that question is yours to make.
Can it handle bookkeeping clients as well as tax?
Yes. Monthly close reminders and missing-statement chasing run on the same agent with a monthly cadence.
How fast is setup?
Document chasing within ten days of the install call, so it is running before the next busy season if you start in the fall.

Under 15 minutes of questions. Then your accounting night shift runs.

You get a written Agent Improvement Plan the same day: which of the agents above, in what order, and what it costs. The industry is already filled in.
