NightShiftAgents for Med Spa & Wellness

The clients who stopped rebooking get a note before they are gone. The content goes out whether or not anyone had time.

A med spa lives on rebooking and on a feed that never goes quiet, and both depend on somebody having a free hour at the front desk. NightShiftAgents reads Boulevard, Zenoti or Mindbody, finds every client past their rebooking window by service, drafts the outreach, builds the promotion calendar around your slow weeks, and schedules the daily post. Every clinical claim goes to a human first. It does not give medical advice and it never touches anything HIPAA covers.

Night Shift is set up for your industry. Written for a med spa owner or practice manager. Runs on your machine, with your accounts.

The problem

You are a clinician running a retail business, and the retail half runs on whoever has a spare minute.

  1. 01

A client who came every ten weeks for tox has not been in for sixteen. Nobody noticed, because noticing requires a report nobody has time to run. By the time you do, she has a new injector.

  2. 02

Instagram is your storefront. The last post was nine days ago. There are 200 before-and-afters on the practice phone with consent on file and no one to caption them.

  3. 03

The third week of every month is slow and you find out it was slow when you look at the numbers in the fourth week. A promotion planned for that week two months ago would have filled it.

A working day

The same day, before and after.

Before

  1. 8:30 AM

Front desk opens the book. Two cancellations today. Nobody to call from a waitlist that does not exist.

  2. 10:00 AM

Between clients. Meant to post yesterday. Take a photo of the treatment room and post that.

  3. 12:15 PM

Membership client emails to cancel. Her last visit was four months ago. No one reached out in between.

  4. 2:30 PM

Ad agency sends the monthly report. Same three creatives running since May. You do not know which one works.

  5. 4:00 PM

A new Google review, three stars, mentions wait time. You will respond this weekend.

  6. 7:30 PM

Home. Open the calendar for next month. The third week is empty again.

After install

  1. 8:30 AM

Morning brief. Overnight: 14 clients past their rebooking window by service type, each with a drafted note in the front desk's Drafts. Two cancellations filled from the rebooking list before you arrived.

  2. 10:00 AM

Today's post went out at 9 with a consented before-and-after and a caption that was approved from Monday's brief. No clinical claims in it; the one draft that had a claim is in your approval queue.

  3. 12:15 PM

The membership retention agent flagged that member at 60 days inactive and drafted a check-in at 75. She rebooked last week.

  4. 2:30 PM

Ad creative rotation report: cost per booked consult by creative for the last four weeks. The recommended swap is a card in your queue because it moves budget.

  5. 4:00 PM

Review reply was drafted overnight, plain and specific about the wait time. You approved it from your phone.

  6. 7:30 PM

Next month's promotion calendar was built two months ago around your slow weeks. The third week has a lip-filler event and the email is written.

Your night shift

The Med Spa & Wellness roster.

Each agent runs on a schedule and leaves a file. Your Agent Improvement Plan picks which ones go live first.
  • Daily content and before/after scheduling

    daily · 5:30 AM

Picks tomorrow's post from the consented before/after library, writes a caption in your voice, and queues it. Any sentence that could be read as a treatment claim or a result promise is stripped out or sent to you as an approval card. Never uses a photo without a consent flag on file.

  • Rebooking-gap detection

    nightly · 10 PM

Knows the typical interval per service: tox, filler, laser series, facials, memberships. Every night finds clients past that interval, ranked by lifetime value and how far past, and drafts a personal note for each. The list is a file; the notes are in Drafts.

  • Membership retention outreach

    weekly · Mondays

Watches membership utilization. A member who has not used a credit in 45 days gets a benefits reminder; at 75 a personal check-in; at 100 a call is scheduled for the manager. Nothing about cancelling is ever automated.

  • Promotion calendar around slow weeks

    monthly · 1st

Reads the last two years of bookings, finds your recurring slow weeks, and builds a promotion calendar 60 days out with the offer, the email, the posts and the front-desk script. You approve each promotion once.

    promo-calendar.md
  • Ad creative rotation

    Mondays · 6 AM

Cost per booked consult by creative, pulled weekly from Meta and Google and matched to consults actually booked in your scheduler. Recommends pausing the worst and testing a new one. Any budget change is an approval card.

  • Review velocity monitoring

    daily · 9 AM

Requests a review the day after a completed service from clients whose last visit was rated well in your system. Drafts a reply to every new review. Tracks reviews per week against your target and tells you when velocity drops.

What it hands you

The three files that matter most here.

  • Rebooking-gap list by service type, ranked by value
  • 30-day content and promotion calendar, scripted
  • Ad creative rotation: cost per booked consult

Previews show the file format with sample rows. They are not a customer's data.

Sits on top of

The software you already run.

No migration. The agents read from these and write files and drafts back to you.

Read this part

What it does not do.

You are a clinical practice. The agents work the retail side and stop hard at the clinical line.
  • It does not give medical advice, answer a clinical question or suggest a treatment. A client who asks 'is this right for me' gets routed to a provider and no draft.
  • It does not make treatment claims. 'Erases wrinkles', 'permanent', 'guaranteed results' and anything like them are stripped before a draft is written, and any sentence near the line is an approval card.
  • It does not read, store or move anything covered by HIPAA. Clinical notes, intake forms, photos without a marketing consent flag: never accessed. We set the boundary during install and it is written into your company file.
  • It does not manage your book. It fills gaps from a list and drafts outreach; the front desk still owns the schedule.
  • It does not process payments, memberships or refunds.
  • It does not post a photo of a client without a consent flag on file in your system.

A social media manager can shoot a reel in the treatment room and talk to an influencer. The agents cannot. They post every day from what you already have, and they do the rebooking and retention work no social media manager was ever hired to do. Two rebooked tox clients a month covers the fee.

Market figures are typical ranges for this role, not a quote. Your Agent Improvement Plan uses your numbers.

The catch

What owners in your industry ask first.

Questions

Frequently asked.

How does it know a photo has consent?
From the consent flag or tag in your scheduler, or from a consent folder you designate in your file storage. If a photo is not in a consented location, the agent cannot use it. No flag, no post.
Who decides what counts as a treatment claim?
Your state board rules and your own list, entered during install, become the checklist. The default list is conservative. You can loosen or tighten it in your company file, and every stop is logged so you can see what was caught.
Can it work with a scheduler other than Boulevard, Zenoti or Mindbody?
If your scheduler can export bookings on a schedule, yes, with a daily export instead of a live read. The Agent Improvement Plan tells you which.
What does the ad report do when Meta's numbers do not match my bookings?
It shows both and says they do not match. Cost per booked consult uses consults actually booked in your scheduler, not Meta's claimed conversions. If the scheduler is unreachable that week, the metric is marked unavailable rather than taken from Meta.
We have two locations. Is that two installs?
One install, two location profiles. Each location gets its own rebooking list, promotion calendar and content queue; the owner gets one brief with both.

Under 15 minutes of questions. Then your med spa & wellness night shift runs.

You get a written Agent Improvement Plan the same day: which of the agents above, in what order, and what it costs. The industry is already filled in.
